Customer Service Administrator

Due to continued growth, our client is looking for a Customer Service Administrator to join their head office team. As a luxury brand, customer service is a key focus in our business. Offering advice, information and solutions is what can help us grow and make sure our customers have a positive experience.

Joining our existing customer service team, we are looking for someone to be a key point of contact for our customers from the time an order is confirmed through to delivery. The role is for someone who loves helping people and problem solve, who is organized, methodical and has a positive attitude to ensure that the relationships with our customers grows through our service.

The role is based at our head office & warehouse, in Guildford and will involve communicating with our customers on the phone and via email.

Main Responsibilities:

  • Contacting customers on confirmation of their order and sending the right documentation (pro-forma invoice, any sign off documents & payment information)
  • Communicating with the customer to ensure the order meets our manufacturing dates and that payment is received accordingly
  • Reviewing the confirmed order with our warehouse manager to confirm delivery dates
  • Maintain correspondence with the customer during the order process to ensure they are ready for delivery and final payment
  • Handle incoming enquiries efficiently, answering questions about orders, making changes, and resolving any concerns
  • Liaising with our logistics team to arrange suitable delivery dates
  • As we continue to grow, to develop the role and take on new responsibilities when required

Expectations:

  • Recording all correspondence, checking documents and manage the dates and times for each order
  • Good phone manner, strong customer service and the ability to remain calm when handling a difficult situation
  • Passion for understanding and improving customer experiences. We will always look to review and improve our process, so welcome suggestions on how to do this
  • Highly organised, with excellent attention to detail
  • Self-motivated: In a small team, you will need to be happy working unsupervised, and help others when required
  • IT literate. We use various systems, and require someone who has good computer skills
  • A positive attitude and a natural problem solver, who enjoys learning and can bring problems to the team, with solutions, so we can learn and grow
  • Comfortable multitasking, in a small business there may be some challenges, but we all jump in to make sure the customer is happy
