The role:

To provide comprehensive administrative support across all aspects of Human Resources especially recruitment activities and general office administration.

Be the main point of contact for general HR enquiries from both internal and external suppliers and customers

Recruitment Administration

Support managers in the administration process for recruitment and selection to include:

  • Place job adverts on job boards and Linked in
  • Liaise with recruitment agencies
  • Organise interviews, including booking rooms
  • Oversee the preparation and distribution of interview packs
  • Notify unsuccessful applicants
  • Meet and greet interview candidates
  • Conduct relevant checks including Right to Work, References and Qualifications.
  • Assist with the smooth on-boarding of new staff
  • Communicate details of new employees to appropriate colleagues to ensure facilities and equipment are readily available on commencement of employment
  • Ensure new employees receive Induction Packs and associated information on their first day
  • Make the necessary arrangements for new employees to attend Induction Training
  • Conduct the Induction Training
  • Update systems and organisation charts accordingly
  • Prepare new employee files, contracts of employment and related documentation
  • Explain and enrol new starters into the company benefits as necessary

Payroll and Benefits Administration

  • Process the HR elements of Payroll, which include ensuring holiday and sick time are tracked on the system
  • Answer Payroll related queries in conjunction with the Finance Department
  • Facilitate finding resolutions to payroll errors and queries
  • Participate in benefit related tasks, such as claim resolutions, reconciling benefits statements, and approving invoices for payment
  • General administration of benefit schemes

General HR Administration

  • Manage and record sickness absence
  • Manage the annual leave process and record staff holidays
  • Be responsible for the leaver process including processing leavers correspondence, completing leaver information for payroll processing, calculate outstanding annual leave, co-ordinate exit interviews, update structure charts accordingly
  • Support managers in applying procedures and policies
  • Assist with training and development administration, including keeping records of staff attending training, forwarding appropriate joining instructions and keeping training records up to date
  • Maintain accuracy of data held on HR computer system
  • Compile reports and spreadsheets as and when required
  • Maintain records related to grievances, performance reviews, and disciplinary actions
  • Administer delivery of the appraisal process
  • Maintain job descriptions with the support of department managers

General Office Administration

  • Answering incoming calls on the main office number
  • Scanning, copying and filing of documents
  • Ordering Stationary & Supplies
  • Collecting and distributing mail
  • Provide central point of contact for general office maintenance & facilities

Skills and characteristics

  • Excellent IT skills including HR support systems
  • Energetic and confident demeanour
  • Personable manner

Experience

  • Minimum 2 years within an HR administration role
  • Excellent IT skills (to include all Microsoft Office packages)

Qualifications

  • Business Administration Level 2 or equivalent or part qualified HR
