HR & Recruitment Administrator

Salary:£21,000 - £24,000

An exciting opportunity within a dynamic, product focused organisation for an organised, solutions driven candidate who is at the beginning of their HR career. Support for CIPD will be offered for the right candidate.

THE ROLE:  To provide administrative support on a day-today basis with a particular focus on recruitment and selection for Group and contribute to the long-term strategic development of the HR function. Provide a professional service to internal and external HR customers and stakeholders.

Main Duties and Responsibilities

  • Update job descriptions, person specifications and job adverts
  • Responsible for the recruitment Inboxes and monitor recruitment related traffic including filtering CVs and candidate profiles for specific roles and speculative applications
  • Telephone screen suitable candidates and provide notes to Line Managers
  • Distribute candidate profiles to Line Managers and arrange interviews with colleagues, candidates and recruitment agencies
  • Take responsibility for advertising vacancies on job boards and internally to colleagues
  • Log all recruitment and applicant activity on the HRIS to ensure statistical reports can be developed and data is recorded accurately
  • Create interview folders for assessment days, coordinating booking of rooms and lunches, set-up and meeting/greeting candidates, ID and right to work check (including EU Settlement Scheme checks)
  • Provide ad hoc support to the HR team and HR related projects when required to help the department achieve its strategic goals and key performance indicators
  • Communicate with candidates and recruitment agencies and inform candidates when they have been unsuccessful
  • Make job offers to candidates and liaise with the HR Coordinator to arrange offer letters and contracts
  • Retain knowledge on employment law and legislation including any changes/updates, communicating details to the Director of HR and wider HR team and recommend amendments when required
  • Ensure the Group organisation chart is kept up to date
  • Create new personnel files (hard copy and electronic) for new starters and archive leavers, ensuring data kept is in line with GDPR requirements
  • Undertake references for new starters and respond to reference requests, in line with Group policy
  • Take notes during interviews in the absence of the Junior HR Business Partner
  • Cover Reception as and when needed
  • Provide regular updates to the Group HR team on recruitment activities and stages of each vacancy
  • Support the aims and ethos of companies, setting a good example in terms of dress, behavior, punctuality and attendance
  • Promote and ensure the good reputation of company and its individual divisions
  • Adhere to all company policies and procedures within the defined timescales
  • Undertake any other tasks which can be reasonably expected in relation to the role




  • Experience of working within a fast paced and busy HR department or recruitment agency
  • Working knowledge of the end to end recruitment life cycle
  • Strong IT skills, particularly the Microsoft office suite – Word, Excel, PowerPoint, Outlook & Teams
  • Experience of candidate sourcing and talent planning
  • Excellent interpersonal skills with the ability to deal with and communicate with colleagues at all levels
  • Extremely well organised
  • Good time management skills, able to efficiently prioritise tasks well and work to deadlines
  • Able to work independently with little supervision
