A well-established law firm is seeking an experienced and highly organised Legal Secretary to provide proactive and professional support within the Property and Trusts Litigation department. This is a fantastic opportunity to join a professional and highly reputable law firm.

 

Key Responsibilities:

 

Client & Team Support

  • Act as the first point of contact for the team, managing phone calls and correspondence.
  • Communicate effectively with colleagues, clients, and third parties, supporting business development efforts and ensuring smooth coordination across departments.
  • Work collaboratively with other secretaries to ensure consistent support is provided

 

Document & File Management

  • Prepare, format and proofread legal documents, reports and correspondence.
  • Maintain both electronic and physical filing systems, ensuring files are well organised and up to date.
  • Prepare court bundles (where required) and assist litigation teams with document handling.

 

Diary & Travel Coordination

  • Manage diaries, schedule meetings and coordinate travel and accommodation arrangements for fee earners and partners.
  • Provide timely reminders for upcoming deadlines, meetings and key dates.

 

Client Onboarding & Compliance

  • Assist with opening new client files, preparing engagement letters and credit checks.
  • Liaise with compliance to ensure all onboarding procedures and regulatory requirements are met.

 

Billing & Financial Administration

  • Support the preparation of billing guides and generate client invoices in line with internal processes.
  • Ensure cost estimates are recorded accurately on relevant systems.
  • Handle expense claims, cheque requisitions and other finance-related admin tasks.

 

Experience and Skills Requirements

 

  • Previous experience as a Legal Secretary, ideally within litigation or property law, with strong organisational, time management, and attention to detail skills.
  • Excellent written and verbal communication abilities, with the discretion to handle confidential information professionally.
  • Proficient in Microsoft Office and legal practice management systems, with experience in document management and billing processes desirable.
  • A proactive, flexible team player who can adapt to changing priorities and work collaboratively across teams.
