We are seeking a highly organised and proactive Legal Secretary to provide comprehensive administrative and secretarial support to fee earners within a busy legal practice. The successful candidate will play a key role in ensuring the smooth and efficient operation of the department through effective diary management, document production, client communication and general administrative support.
Responsibilities:
- Provide comprehensive secretarial and administrative support to solicitors, associates and partners.
- Manage diaries, meetings, appointments and travel arrangements.
- Prepare, amend, format and proofread legal documents and correspondence.
- Handle client communications by telephone, email and in person.
- Open new matters and support client onboarding processes.
- Maintain accurate electronic and paper filing systems.
- Assist with billing, time recording and invoice administration.
- Prepare meeting packs, court bundles and transactional documents as required.
- Liaise with clients, counsel, courts and other third parties.
- Ensure compliance with firm policies, confidentiality requirements and regulatory procedures.
- Support the wider team with general administrative duties and ad hoc projects.
Experience:
- Previous experience as a Legal Secretary, Legal Assistant or Secretary within a professional services environment.
- Experience supporting multiple fee earners in a fast-paced environment.
- Strong Microsoft Office skills, particularly Word, Outlook, Excel and PowerPoint.
- Excellent document formatting, proofreading and typing skills.
- Experience managing diaries and coordinating meetings.
- Strong organisational skills with the ability to prioritise workloads and meet deadlines.
- Excellent verbal and written communication skills.
- High level of attention to detail and accuracy.
- Experience using legal case management systems desirable.
- Knowledge of legal terminology, procedures and compliance requirements desirable.
- Experience within a UK law firm preferred.
