Legal Secretary

We are seeking a highly organised and detail-focused Legal Secretary to join our client’s Finance team. Supporting a group of senior lawyers and legal professionals, this role provides a blend of administrative, secretarial and process-focused support. You’ll play a key role in keeping the team running smoothly from document production to billing, diary management and client liaison.

Key Responsibilities:

  • Manage and support the billing cycle, including raising and processing invoices, handling time transfers and preparing financial reports.
  • Open new client matters and ensures information is accurately recorded.
  • Maintain and update client and business development records.
  • Provide support to lawyers during quieter periods by proactively seeking work.
  • Handle incoming calls promptly and professionally.
  • Act as a point of contact for clients when lawyers are unavailable.
  • Draft and prepare client engagement letters and manage signature processes.
  • Produce and amend documents in Word, Excel and PowerPoint with accuracy and attention to detail.
  • Proofread, format and check documents to ensure they meet professional standards.
  • Prepare documentation to support business travel.
  • Manage email inboxes and correspondence on behalf of lawyers.
  • Organise and maintain both digital and paper filing systems.
  • Keep lawyers’ diaries up to date and coordinate meetings.
  • Arrange internal and external appointments, ensuring all logistics are handled.
  • Organise travel and related administration.

Experience and Skills Requirements:

  • Previous experience as a secretary, PA or administrator within a professional services environment.
  • Strong IT skills, with good knowledge of Microsoft Word, Outlook and Excel.
  • Excellent attention to detail, grammar and written English.
  • Confident numerical skills to support billing and reporting tasks.
  • Highly organised, able to manage multiple tasks and deadlines.
  • Strong interpersonal skills with a professional and confident manner.
  • A proactive approach with the ability to anticipate needs and work independently as well as in a team.

Desirable (but not essential)

  • Familiarity with legal documentation and billing processes.
  • Experience with specialist software used in professional services (e.g. case management or finance systems).
  • Working knowledge of PowerPoint.
