Our client is seeking a proactive and well-organised Reception and Facilities Assistant to join their friendly and fast-paced office in Guildford. This is a varied position where no two days are the same, supporting the smooth running of reception and general office operations while ensuring the workplace remains a welcoming and efficient environment.
You’ll be part of a collaborative team that supports colleagues across the business, taking on a wide range of tasks and adapting to changing priorities. This is a fully office-based role, five days per week.
Key Responsibilities:
Reception Duties
- Act as the first point of contact for all visitors, providing a warm and professional welcome.
- Handle incoming calls and emails, ensuring enquiries are dealt with promptly and efficiently.
- Manage meeting room bookings and refreshments, making sure rooms are well prepared for meetings and events.
- Maintain the reception area to a high standard of tidiness and presentation.
- Open and close the reception area when required.
Office and General Administration
- Process incoming and outgoing post, including use of the franking machine.
- Arrange courier collections and deliveries, ensuring timescales and budgets are met.
- Assist with cheque requests and daily banking as needed.
- Keep shared areas and service points well stocked and organised.
- Help maintain office systems and records and support internal communications such as newsletters.
Facilities Support
- Support the Facilities Manager with day-to-day coordination and maintenance matters.
- Report and follow up on any premises or equipment issues.
- Liaise with suppliers and contractors as needed.
- Assist with office activities and staff events such as breakfast orders and deliveries.
- Ensure compliance with company policies and health and safety standards.
