Our client is seeking a professional, personable, and highly organised Receptionist to join their established and growing business based in Godalming. Key Responsibilities:
Front of House & Client Services
- Welcome clients, visitors, and guests in a professional and friendly manner.
- Ensure the reception area is well-presented, organised, and reflective of the company’s professional standards.
- Manage visitor sign-in procedures and notify relevant staff of arrivals.
- Prepare meeting rooms and refreshments for client meetings when required.
- Provide an exceptional first impression for all clients and visitors.
Telephone & Enquiries Management
- Answer, screen, and direct inbound telephone calls efficiently and professionally.
- Manage the company enquiries inbox, ensuring all enquiries are responded to or directed appropriately and within agreed timeframes.
- Take accurate messages and ensure prompt follow-up by the relevant department.
- Handle general client and visitor enquiries both in person and via telephone and email.
Administration Support
- Assist with general office administration duties.
- Maintain and update company databases and records accurately.
- Generate and distribute standard correspondence when required.
- Assist with the coordination of meetings, appointments, and office schedules.
- Support the wider administration team with ad hoc administrative tasks.
- Maintain office supplies and assist with ordering stationery and refreshments.
Office Operations
- Help ensure the office environment remains professional, organised, and efficient.
- Liaise with suppliers, contractors, and service providers as required.
- Undertake additional duties as requested by management to support the smooth running of the office.
Experience and Skills Requirements
Essential
- Previous experience in a receptionist, front-of-house, customer service, or office administration role.
- Excellent verbal and written communication skills.
- Professional, polished, and confident manner.
- Strong telephone etiquette and customer service skills.
- Excellent organisational skills and attention to detail.
- Good working knowledge of Microsoft Office, including Outlook, Word, and Excel.
- Ability to multitask and prioritise workload effectively.
- Reliable, professional, and highly presentable.
Desirable
- Experience working within a professional services or financial services environment.
- Experience using CRM or client management systems.
- Understanding of confidentiality and data protection requirements.
